To provide administrative leadership and operational support to the Sales function by managing sales administration, order-to-cash operations, distributor documentation, claims, billing, reporting, fleet coordination, customer complaint resolution and cross-functional coordination. The role ensures efficient processes, accurate reporting, policy compliance and effective stakeholder management.

| JOB DUTIES / RESPONSIBILITIES / ACCOUNTABILITIES |
1. SALES ADMINISTRATION & ORDER MANAGEMENT
- Manage end-to-end sales administration processes across assigned regions.
- Ensure accurate & timely processing of primary &secondary orders, Collection, reconciliation.
- Maintain distributor and customer master data, pricing records, credit limits and supporting documentation.
- Monitor order fulfilment performance, resolve processing issues and ensure compliance with company policies and audit requirements.
2. BILLING, CLAIMS & SCHEME ADMINISTRATION
- Supervise billing activities to ensure accurate and timely invoice generation with minimal errors.
- Manage trade promotion, rebate, discount and scheme claim processing.
- Validate distributor claims against approved scheme guidelines and supporting documents.
- Coordinate settlement with Finance and distributors and ensure timely closure of approved claims.
3. SALES MIS, REPORTING & DATA ANALYTICS
- Lead preparation of daily, weekly, monthly and annual sales reports and dashboards.
- Monitor sales performance, distributor productivity, outlet coverage, product mix and execution KPIs.
- Ensure data accuracy and integrity across ERP, SFA, DMS and reporting platforms.
- Provide commercial insights and recommendations to support management decision-making.
- Track reporting timelines and establish corrective actions for recurring data-quality gaps.
4. FLEET & OPERATIONAL SUPPORT MANAGEMENT
- Oversee fleet operations supporting sales and distribution activities.
- Monitor vehicle availability, utilisation, maintenance schedules, fuel consumption, driver performance and policy compliance.
- Ensure timely allocation of vehicles for field sales and distribution operations.
- Track fleet-related costs and recommend efficiency improvements.
- Monitor service-provider performance where third-party fleet operations are used.
5. CUSTOMER COMPLAINT & SERVICE COORDINATION
- Manage the customer complaint logging, tracking, escalation and resolution process.
- Coordinate with Sales, Customer Service, Supply Chain and distributors to resolve complaints within agreed timelines.
- Analyse recurring issues, recommend corrective actions and prepare periodic complaint-trend reports.
- Monitor service levels and complaint-resolution turnaround time.
6. CROSS-FUNCTIONAL COORDINATION & COMPLIANCE
- Act as the key liaison between Sales, Finance, Supply Chain, Customer Service and HR.
- Support distributor onboarding, documentation, credit setup and system activation.
- Coordinate sales-related payroll inputs, incentive administration and employee records where required.
- Ensure compliance with company policies, statutory requirements, data-confidentiality standards and audit controls.
- Support sales reviews, meetings, training events, logistics and continuous process improvement.
7. PEOPLE MANAGEMENT & CAPABILITY DEVELOPMENT
- Lead, coach and develop Sales Administration team members.
- Set clear performance objectives, conduct regular reviews and address performance gaps.
- Build capability in systems, reporting standards, controls and administrative processes.
- Promote accountability, accuracy, collaboration and customer-service excellence.

Requirements
EDUCATION, EXPERIENCE & OTHER REQUIREMENTS
- Bachelor's degree or HND in Business Administration, Accounting, Finance, Statistics, Sales, Marketing or a related discipline.
- Postgraduate degree or relevant professional qualification is an advantage.
- Completion of the National Youth Service Corps (NYSC) programme, where applicable.
- Minimum of 7-10 years of FMCG experience in Sales Administration, Commercial Operations, Sales Support,, Customer Service or Sales Operations, including at least 3 years in a managerial or supervisory role.
- Strong practical experience with ERP, DMS, SFA, Power BI and Microsoft Office applications.
- Demonstrated experience managing distributor administration, billing, claims and order-to-cash processes.
